Role and Responsibilities:
As the Executive Assistant (EA) to the CEO, Rohan Dhawan, you play a crucial role in ensuring the seamless operation of UAbility’s executive office. Your wide-ranging responsibilities include:
- Calendar Management: Scheduling appointments and managing the CEO’s calendar, ensuring he is well-prepared for all meetings.
- Communications Management: Handling incoming calls and emails, drafting correspondence, and ensuring efficient communication within and outside the organization.
- Event Coordination: Assisting in the planning and execution of company events, meetings, and client engagements.
- Email Management and Response: Organizing the CEO’s inbox and ensuring timely responses to critical communications.
- Liaison for the CEO: Acting as the point of contact between the CEO and internal/external stakeholders.
- Travel Coordination: Arranging comprehensive travel itineraries, including flights, accommodations, and transportation.
- Interview Screening and Hiring: Assisting in the recruitment process by screening candidates and coordinating interviews.
- Document Preparation: Creating, editing, and proofreading business documents, presentations, and reports.
- Social Media Management and Posting: Overseeing the CEO’s social media accounts and ensuring consistent and engaging content.
- Proactive Task Management: Anticipating the CEO’s needs and addressing them proactively.
- Personal Shopping: Managing the procurement of clothing, toiletries, nutrition, and other personal items for the CEO.
- Personal Task Management: Organizing dinner reservations, managing social engagements, and ensuring a balanced work-life integration.
- Bank Account Management: Overseeing bank account transactions (view-only access) and ensuring timely responses and actions.
- Contract Management: Sending out contracts to new recruits and ensuring proper documentation.
- Legal Coordination: Facilitating communication between the CEO and legal counsel, ensuring all legal matters are addressed promptly.
- Gift Management: Procuring custom gifts for employees, clients, family, and friends on special occasions.
- Client Appreciation: Ordering and sending gifts to successful clients as a token of appreciation.
- Administrative Support: Providing comprehensive administrative support as required.
Qualifications and Skills:
- Experience: Proven experience as an Executive Assistant or in a similar role.
- Education: Bachelor’s degree in business administration, communication, or related field.
- Communication Skills: Exceptional verbal and written communication skills.
- Organization: Outstanding organizational abilities, with a knack for multitasking and prioritizing effectively.
- Tech-Savvy: Proficiency in Microsoft Office Suite, Google Workspace, and various social media platforms.
- Problem-Solving: Strong problem-solving skills with the capacity to thrive in high-pressure situations.
- Attention to Detail: A meticulous eye for detail and a proactive approach to work.
